The Project Manager position is responsible for facilitating and managing sign projects from inception to completion while maintaining a strong working relationship with our FASTSIGNS National Accounts customers, FASTSIGNS franchisees, and our vendors.  Project Managers are expected to adhere to the highest level of customer service to all parties involved with the completion of specific projects.

This is a full-time non-exempt hourly position requiring individuals to work a minimum of forty (40) hours each week.  The Project Manager position reports directly to their Account Manager.

Essential Functions

  1. Receive new inquiries /orders from FASTSIGNS National Accounts clients via email, catalog, purchase order, or other methods.  Review the inquiry to make sure all the essential information needed to perform job duties has been received from the client.

  2. Enter new jobs into the project management software and create a scope of work based on the type of job (New Install, Build and Ship, Service).

  3. Research and select a qualified local FASTSIGNS franchisee or subcontractor to survey the location based on the scope of work and submit a purchase order to the appropriate vendor to complete the work.  Verify that we have current insurance coverage from the vendor.

  4. Research sign code by ordering from Sign Code Inc., internet, or phone inquiry to the local municipality for which the job location resides.

  5. Contact landlords for sign criteria, insurance requirements, and property use-/ subcontractor regulations as needed.

  6. Receive and review survey to verify complete information needed to prepare an accurate sign proposal to the client. Use available survey, sign code, landlord sign criteria, and customer brand requirements to identify locations for signage and any possible issues related to the location.  

  7. Request artwork for signage from the FASTSIGNS National Accounts Art Department using the information from the survey, landlord, and city requirements.  Ensure that the client’s brand standards and logo usage guidelines are upheld when requesting artwork.  Upon return, review completed artwork for accuracy.  Request artwork revisions as needed.

  8. Submit artwork for quotes to manufacturer (if there is not a predetermined cost) and install/permitting vendor.  Follow up on estimates that are not received in a timely manner (1-2 business days).  Compile estimates and create a customer quote using margins that have been pre-established for the account.  If needed, request supervisor approval prior to quoting the customer.  Send quote and artwork to the client or let them know that it is available for review in the documents section on their customer website.

  9. Submit artwork to the landlord for approval.  Submit artwork revisions as necessary per landlord comments.

  10. Create purchase orders for permitting, manufacturing and installation.  Follow up to ensure that the purchase orders are received by vendors and work is on schedule per benchmarks.

  11. Maintain current jobs statuses in project management software with notes, correct contact information, and all necessary documents needed to track and complete the job.

  12. Competitively bid projects as needed to ensure that clients are receiving the best prices.

  13. Develop and improve tools necessary for managing projects (survey, service forms, price sheets, etc…)

  14. Ensure that the job is properly marked in project management software upon completion so the Accounting Department can invoice the client.

  15. Follow up on all active jobs and sales quotes weekly to ensure completion by deadlines. 

  16. Assist other FASTSIGNS National Accounts team members in following up and with other projects as needed.

  17. Work with other FASTSIGNS National Accounts team members to develop and improve catalog selections for managed catalog customers.

  18. Work with other FASTSIGNS National Accounts team members to develop and improve processes and procedures.

Supervisory Responsibility 
This position does not have direct supervisory responsibilities

Work Environment
The Project Manager position operates in a professional office environment.  This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, shredding and fax machines.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear.  

Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days Monday through Friday, working between the hours of 7:00 a.m. to 6:00 p.m. Occasional evening and weekend work may be required as job duties demand.

This position requires minimal to no travel.  Any travel would be primarily local during business days, although occasional out-of-the-area and overnight travel may be expected based on individual job responsibilities.
Required Education and Experience
  1. High School Diploma
  2. Some Project  Coordination and/or sign experience preferred
