Customer Service/Office Assistant (Sales Administrator)

POSITION DESCRIPTION

Under general direction, the Visual Communications Assistant assists the Center Manager and Sales in the administration of daily center operations.

RESPONSIBILITIES
Answer the phone and direct callers to the appropriate individual. Assist sales with customers when needed. Assist with sales marketing campaigns.

Copy and file documents, work orders, estimates, invoices, etc., as needed.
Assist the sales team as needed (i.e.: contacting customers when orders are ready for pickup, labeling and mailing marketing materials and follow-up letters when requested, delivering orders when needed, making competitive “shopping” calls, etc.).
Assist in maintaining center appearance by vacuuming, cleaning counters, straightening showroom, update in-store merchandising and keeping area neat.
Manage office supplies; make sure departmental needs are met, that postage meter has postage, copier and FAX machine have paper, etc.
Assist Sales Professional(s) as needed (i.e.: contact vendors for pricing, shipping updates, minor project management, estimate follow-up, and customer service needs)
Serve as a production backup when needed.
Input data, fax, mail, copy and file. Manage incoming emails and redirect to appropriate staff member.
Participate in and practice the brand mentality of “Everybody Sells”. Constantly be looking for sales opportunities for the center.
Serve as a backup for answering the phone if the franchisee, manager and sales/service employees are busy assisting other customers. Assist at the front counter as needed.
Understand the sales process enough to consult with customers to determine project needs and solutions.

QUALIFICATIONS:

  • High School Diploma
  • Valid Drivers License
  • Strong verbal and written communication skills (in person and over the phone)
  • Basic computer skills: typing, data input, working a POS system
  • Basic math skills (adding, subtracting, multiplying, and dividing whole numbers and fractions and converting fractions to decimals and vice versa). Good grammar and spelling.
  • Able to work well under pressure to output high volume, high-quality work
Starting Compensation:

  • Salary: $13.00 - $14.00 per hour (based on experience)
