We are seeking an exceptional Administrative Assistant to join our team and support our dynamic work environment. The ideal candidate will be a proactive problem solver with excellent communication skills and a keen eye for detail. Experience in an office setting, performing administrative tasks, and supporting colleagues is essential. The ability to multitask, manage complex schedules, and adapt to changing deadlines is crucial for this role.
 
**Objectives of this Role:**
- Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests.
- Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance.
- Coordinate internal and external resources to expedite workflow.
- Oversee and achieve organizational goals while upholding best practices.
 
**Responsibilities:**
- Help front-desk coverage by greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment.
- Provide administrative support on jobs, including quality control of completed jobs, photo tagging and archiving of completed job photos, and contact with clients with remaining paperwork.
- Process, submit and confirm invoicing as well as handle receivables.
- Support purchasing team with payables and reconciling purchases.
- Support marketing with mailing list from database.
 
**Required Skills and Qualifications:**
- High school diploma or equivalent.
- Proven administrative experience.
- Superb written and verbal communication skills.
- Strong time-management skills and multitasking ability.
- Aptitude for learning new software and systems.
 
**Preferred Skills and Qualifications:**
- Microsoft Office (strength in Excel is ideal)
